Using Malaysian Company (SSM) Documents Abroad: Certify, Notarise, Legalise

Short answer: To use Malaysian company documents abroad, order certified copies from SSM, have company letters, resolutions and powers of attorney signed before a Notary Public, attest them at Wisma Putra, then legalise them at the destination country's embassy in Kuala Lumpur, because Malaysia is not a party to the Apostille Convention. SSM no longer issues a certificate of incorporation automatically: "Only registration notice will be issued", and the certificate is issued "upon application made with the prescribed fee". Wisma Putra lists company establishment documents, appointments of agents or boards of directors and company introductions among those that must be notarised first. Many destinations also want a translation: China asks for a Chinese translation by an agency recognised by the Malaysian court and foreign ministry, and India wants Malay documents translated into English.

What we do: the whole chain for company documents: ordering the right SSM copies, notarisation, Wisma Putra, embassy legalisation and certified translations into Chinese, Japanese, Korean, Thai, Vietnamese, Arabic and other languages. Tell us the country and purpose on WhatsApp.

Which SSM documents to order

  • Certificate of incorporation: issued only on application. A certified true copy costs RM20, or RM30 as a digital copy.

  • Company Profile showing directors, shareholders and registered address: RM10, or RM20 digital.

  • Particulars of directors/officers and of shareholders, where the foreign authority wants them separately.

  • Attestation of Company Good Standing (ACGS): RM100. It is computer-generated: "No signature is required."

These are sold through SSM e-Info, MYDATA-SSM, SSM Search and SAFEDATA. Digital certified copies carry a QR code that SSM's app can verify. Because Wisma Putra attestation is "to validate the stamp and signatures", a computer-generated document without a signature usually goes to a Notary Public first.

Company documents you sign yourself

  • Board resolutions approving the foreign subsidiary, account or appointment.

  • Powers of attorney and letters of authorisation for agents, distributors and lawyers abroad.

  • Company introduction letters and declarations for tenders and registrations.

These are signed before a Notary Public, then attested by Wisma Putra and the embassy.

Country examples

  • China: the document is "notarized by a legal notary public of Malaysia", legalised by Wisma Putra, then by the Chinese Embassy, and needs "a recognized Chinese translation document". See the China legalisation guide.

  • India: "All commercial/company documents should be duly legalized by the Notary Public and Consular Division", and "All Malay documents are required to be translated in to English."

  • Middle East: see our guides for the UAE, Qatar and Oman.

  • Korea: see consular confirmation for Korea.

Common uses

  • Setting up a subsidiary, branch or representative office abroad.

  • Opening a corporate bank account in Hong Kong, Singapore or China.

  • Bidding for foreign government tenders or registering as a supplier.

  • Registering trademarks or products abroad (see legalising export certificates).

  • Appointing a distributor or agent with a power of attorney.

Common questions

Do I need a certificate of incorporation, or is the SSM notice enough?

Many foreign authorities and banks still ask for the certificate. Order a certified copy from SSM; it is issued on application.

Can Wisma Putra attest an SSM digital certified copy directly?

Wisma Putra validates stamps and signatures, so a computer-generated document usually needs notarising first. We check this with each file.

Do company documents need translating?

It depends on the country. China wants Chinese, the Middle East often Arabic, and many countries accept English. Malay documents generally need an English translation.

Can you collect and submit everything for us?

Yes. Send the country and purpose, and we handle notarisation, Wisma Putra, the embassy and the translation.
